Where this policy refers to a specific APP (for example, APP 11 in relation to data security), that reference is provided to assist your understanding and does not limit our obligations.

- directly from you, when you email us, complete a form on this website, or correspond with us about a project;
- from your representatives or referrers, where you have authorised them to act on your behalf;
- from publicly available sources, such as business registers and professional directories, where reasonably necessary;
- automatically, through cookies, server logs and analytics when you browse our website.
We will only collect personal information by lawful and fair means, and only where it is reasonably necessary for one or more of our functions or activities (APP 3).

6. Disclosure of Personal Information
We do not sell or rent personal information. We may disclose personal information to:
- service providers who assist us with hosting, email, analytics, accounting or professional advisory services, under contractual confidentiality obligations;
- our professional advisers, including accountants and legal counsel;
- government bodies, regulators or courts where required or authorised by law.
7. Overseas Disclosure
Some of our service providers (for example, cloud hosting and email providers) may store or process data on servers located outside Australia. Where personal information is likely to be disclosed to overseas recipients, we take reasonable steps to ensure those recipients do not breach the APPs in relation to that information (APP 8), including through contractual safeguards where appropriate.
8. Data Quality
We take reasonable steps to ensure the personal information we collect is accurate, up to date and complete, having regard to the purpose for which it is collected and used. If you believe information we hold about you is inaccurate, out of date, incomplete, irrelevant or misleading, please contact us so we can review and correct it (APP 13).
9. Data Security and Retention
We hold personal information in electronic records protected by reasonable technical and organisational measures, including access controls, secure passwords and encrypted connections. We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure (APP 11). Personal information is retained only for as long as necessary for the purposes described in this policy, or as required by law, after which it is securely destroyed or de-identified.
10. Direct Marketing
We may use your contact details to send you information about our services where you have consented or where you would reasonably expect this. Every marketing email we send includes a simple unsubscribe mechanism, and you may opt out at any time by emailing ceo@imtsmachinerygroup.online. We will action your opt-out request promptly and free of charge.
11. Cookies and Website Analytics
Our website uses cookies and similar technologies to understand how visitors use the site and to improve performance. These tools may collect information such as pages viewed, referring website, browser type and approximate location. You can configure your browser to refuse cookies, although some features of the website may not function correctly as a result.
12. Access to Your Personal Information
On request, we will give you access to the personal information we hold about you (APP 12), within a reasonable timeframe and free of charge in most cases. We may decline a request in limited circumstances permitted by the Privacy Act; if so, we will explain our reasons and, where relevant, make arrangements for you to deal with us through a mutually agreed intermediary.
13. Complaints and Dispute Resolution
If you have a concern about how we have handled your personal information, please contact us first so we can resolve the matter directly. We will acknowledge your complaint, investigate it, and provide a written response, ordinarily within 30 days. 14. Anonymity and Pseudonymity
Where it is lawful and practicable, you may deal with us anonymously or using a pseudonym, for example when making a general enquiry about our services. However, we generally need your name and contact details to prepare quotations, deliver consulting work or respond to substantive requests.
